Before installation and use by authorised persons, all instructions listed here must be read and understood. AssistMe will draw particular attention to the importance of the safety information during initial and supplementary training courses and will provide all users in advance with FAQs, videos and tutorials in digital and personal form, which are based on these instructions for use and stored in this helpdesk.

General safety information

Regular checks:

After each change to the settings in the alea Cockpit and in the alea app, check that the product is functioning properly and inform all carers and users in the respective care facility of any changes to ensure smooth operation for all users.

Check the green LED:

Regularly check that the LED light on the corresponding alea hardware is green when the device is connected to a power source.

Switch on for system updates:

  • Updates and upgrades for all product components are performed automatically.

  • It is important to note that each device must be switched on. There is no time limit for updates:

  • Even if a device is switched on after a year and has missed several updates in the meantime, it will automatically be updated to the latest version.

  • Use the alea app to ensure that updates are carried out automatically. Therefore, check the settings on your mobile devices.

Avoid moisture on and in the hardware:

  • The hardware (alea clips and alea dock) must not be exposed to excessive moisture outside of cleaning. Cleaning systems or devices for nursing beds (so-called washing lines) or dishwashers should be avoided.

  • The upper part of the alea clip can be removed by clicking it off and, if necessary, cleaned and disinfected mechanically or professionally.

  • The lower part of the clip with the sensor plate and all cables and connections are excluded from this.

  • The application must always be dry.

Avoid direct sunlight:

The clip and fittings should not be exposed to direct sunlight during use and storage.

Only safe accessories:

  • Do not use alea system components in combination with external components that have not been specified or named by the manufacturer.

  • Do not install or attach any system components.

  • Only the system components and hardware included in the scope of delivery are considered safe (see section 1.2.4).

Repairs only by the manufacturer:

  • Do not repair the product yourself.

  • Defective devices will be taken back by the manufacturer and either repaired or disposed of.

  • Unauthorised repairs to alea components will result in us, as the manufacturer, not taking back these hardware components, as this will void the warranty for these devices.

alea as a digital care assistant:

  • The system is not intended as an equivalent replacement for care tasks performed by nursing staff in the respective care facilities.

  • The alea system must not be used in situations where a delay in the arrival of nursing and medical care could lead to health-threatening and life-threatening situations.

Tested safety:

This device meets the basic requirements for electromagnetic safety and the specific requirements of the relevant standards.

Technical safety instructions

Cable use when connecting the alea dock to the power supply

Check the power cable:

  • alea docks must never be used with a damaged or defective power cable.

  • The supplied power plugs must not be used with a damaged cable.

  • The alea dock may only be connected to the mains using the power cable supplied.

Secure the cable:

The mainins cable must not be trapped (e.g. under der tablable o or chair legs) or rest on sharp edges and be rubbed.

Use a fixed socket:

  • If possible, do not install portable multiple sockets or portable power supplies behind the alea-Dock. Although this is technically possible, it is explicitly not recommended by the manufacturer.

  • If necessary, use another permanently installed socket.

Replacement in case of cable defect:

If the power cable of an alea dock is damaged, it may only be replaced by a power cable provided by the manufacturer or an authorised partner.

Fixed cable routing:

The power cable must always be secured and should not hang loosely. This is to prevent accidents.

Operation of the alea dock and alea clips:

No DIY repairs:

  • The alea dock and alea clip must not be opened as they contain sensitive electronic components.

  • Never open or repair the hardware components yourself. Do not make any changes to them that are not described in the operating instructions.

  • The alea dock contains live parts. Repairs may only be carried out by authorised service centres of the manufacturer using original spare parts and accessories.

Set up with distance:

  • Other electronic devices should ideally be used at a minimum distance of 30 cm from the alea dock.

  • Otherwise, the performance of the device may be impaired.

  • If this is not possible, the device will still function, but to avoid any kind of malfunction, it is strongly recommended that you follow this recommendation.

In case of imminent danger:

If there are signs of damage, such as a burning smell, the alea dock must be disconnected from the mains immediately and the manufacturer's support team contacted.

Do not operate if damaged:

A damaged alea dock may not be safe enough and, in exceptional cases, may cause injury or fire.

Only operate indoors:

The alea dock must be protected from the elements, such as rain, frost and direct sunlight.

Do not put in the dishwasher:

The alea dock and alea clip must not be cleaned in the dishwasher.

Clean without power:

  • Before cleaning the alea dock, the power plug must be disconnected from the power source, then it can be carefully wiped with a damp cloth.

  • Avoid prolonged exposure to splashing water.

No increased radiation exposure:

  • The outgoing Bluetooth signal (BLE) is comparable to standard headphones or similar transmitting devices that can be worn on the body.

  • The LTE signal used corresponds to the signal strength of a standard mobile phone.

Remove the alea clip before MRI or CT examinations:

  • If the alea clip is still attached to an ICP and a care recipient with the ICP is taken into another medical device such as an MRI or CT scanner, always remove the alea clip beforehand.

3-year service life:

  • The alea dock and alea routers have a planned product service life of (at least) 3 years.

  • After this period, the manufacturer will check and replace the hardware free of charge, provided this is necessary under the terms of the customer contract.

Safe use of the alea app:

Coordinate within the network:

  • Please only make changes to the message settings in the alea app in consultation with your network.

  • Changed account settings should always be shared with the users/care network/caregiver.

Document and communicate changes:

To ensure safe and correct operation in the long term, all relevant changes in the alea app should be documented outside of it, e.g. changes to login data or basic settings made via the alea cockpit.

Use assigned device:

Push notifications for a care recipient are only displayed on the mobile device that a user last used to log in to the corresponding account.

Login password:

If login is not possible, a new password can be created. Updated passwords should be communicated to all account users in a timely manner.

Adjust screen display:

  • The alea app uses a traffic light system to indicate the importance of messages and visualised status information for care recipients.

  • If you have red-green colour blindness or other colour perception issues, the colour settings on the device you are using can be adjusted so that all notifications can be distinguished with the greatest possible certainty. In principle, however, this is possible anyway based on the shapes.

Charging mobile devices:

Every device on which alea is used must be charged regularly and should have sufficient battery life for continuous use. Stationary PCs should be securely connected to the power supply.

Safe use of the alea cockpit:

Coordinate within the network:

Changes to the configuration (e.g. assigning new maintenance recipients to existing hardware or existing maintenance recipients to new hardware) in the alea cockpit should only be made in consultation with your network and supervisor, and changed settings should be communicated promptly.

Record changes:

All relevant changes should always be documented to ensure safe and correct operation in the long term.

Login:

If you are unable to log in, a new password can be created. Updated passwords should be communicated to all users of the alea cockpit promptly.

Common possible causes of malfunctions:

Damage:

  • alea will not work properly or at all if the alea dock or a cable is damaged.

  • If in doubt, the device should be replaced after prior inspection by the manufacturer.

Attachment errors:

alea does not work properly or at all if the alea dock and/or the alea clip is not correctly attached to the ICP (remove and reattach and check that the LED on the clip is green).

Human influence:

alea does not work properly or at all if the care recipient removes the smart ICP without authorisation or removes the alea clip.

Faulty power supply:

alea does not work properly or at all due to fluctuations in the power supply or a failure of the power supply unit.

Faulty internet connection:

  • All hardware components with live power supplies, smartphones and tablets with the alea app must be connected to the internet during use.

  • The same applies to computers on which the browser-based alea cockpit is used.
